Role Brief:

  • Take phone calls and redirect as appropriate/monitor answer machine
  • Manage the accounts@HCI email printing the invoices on a weekly basis. 
  • Collate Credit card statement receipts
  • Printing work orders as required for manufacturing by Production Manager
  • Meet and greet HCI guests, offer refreshments
  • Continually keep kitchen supplies stocked/cleaners products/office products/some production products as per the excel spreadsheet
  • Maintain confidential waste, ordering new bags and requesting collections when required
  • Help work towards developing a paperless workplace with the use of scanning and cloud filing. 
  • Collect any post/letters, distribute or file accordingly
  • Manage Petty Cash updating Accounts when required
  • Use the MRP system in various aspects of the company
  • Assisting in adding material costings to MRP system
  • Purchasing required parts from approved suppliers with approved Purchase Orders
  • Monitor the activity of purchases, ensuring any delays in orders are communicated and action taken accordingly to resolve any delays
  • Update the main HCI Build schedule with part dates due and chase if necessary
  • General office admin duties to include managing calendars, meeting requests, letter writing, filing, printing as required
  • Arranging / collating Manufacturing Orders (MO’s), update the main HCI Build Schedule, as directed by Production Manager
  • Control the archiving of MO’s monthly and dispatch notes weekly
  • Recover MO’s and dispatch notes when requested, then refile once investigation is complete
  • Redundant stock management – using agreed online resources to sell off redundant stock
  • Assist Operations Manager to define minimum stock values of parts on the HCI MRP system
  • Conducting regular (daily/weekly/monthly) quick checks on minimum stock levels using MRP system
  • Update the Non-Disclosure-Agreement register when required

Education / Experience / Attributes required:

  • Business Administration certification Level 3 or equivalent
  • Customer and quality focussed attitude
